Minimum Requirements

Qualifications:

  • Minimum: NQF Level 6 in Business Administration or Information Systems/Technology
  • Ideal: NQF Level 7 in Business Administration or Information Systems/Technology

Experience:

  • 1 year administrative experience (required)
  • Experience in an educational institution is an advantage

Knowledge & Skills Required

  • Excellent communication and active listening skills
  • Ability to manage multiple queries via phone, email, and ticketing systems
  • Proficiency in FreshCaller or similar platforms
  • Problem-solving and conflict resolution skills
  • Friendly, empathetic, and professional approach
  • Familiarity with student administration processes
  • Adaptability and willingness to improve

Key Duties and Responsibilities

Call Handling

  • Handle student calls professionally as the first point of contact
  • Log and resolve student queries as a Customer Services Agent
  • Escalate unresolved issues when necessary
  • Record and analyze frequent concerns to improve service

Ticket Resolution

  • Resolve helpdesk tickets promptly within SLA
  • Communicate clearly with students during the resolution process
  • Collaborate with other departments for complex issues
  • Keep system updated and generate performance reports

Customer Service Excellence

  • Represent Rosebank College as a Customer Services Agent who cares
  • Address concerns while upholding the brand’s reputation
  • Go the extra mile to assist and resolve issues
  • Contribute to student satisfaction through excellent service

Knowledge & Continuous Learning

  • Participate in training and team updates
  • Stay current on institutional changes, tools, and deadlines
  • Help develop FAQs and knowledge base documents
  • Suggest improvements in customer support processes
